Getting started 12
How do I get started with Softech Team?
Send an enquiry through the contact form or email us directly. We reply within one working day and arrange a short call to understand what you need. There is no charge and no obligation for that first conversation.
Do you charge for the initial consultation?
No. The first call is free and is genuinely about establishing whether we can help. If we are not the right fit, we will say so and where we can we will point you somewhere better.
What happens after I send an enquiry?
We read it, route it to the right team, and reply within one working day. If it looks like a fit we arrange a call, and after that you receive a written proposal setting out scope, timeline and price.
How quickly can you start?
For most services we can begin within one to two weeks of a signed proposal. Larger software builds may need longer to assemble the right team, and we tell you the honest date rather than an optimistic one.
Do I need to know exactly what I want before contacting you?
No. Plenty of clients arrive with a problem rather than a specification. Working out what actually needs building is part of what we do, and if the scope is genuinely unclear we quote a short paid discovery stage instead of guessing.
Can we start with something small?
Yes, and we usually recommend it. A contained first piece of work tells you far more about whether we are the right partner than any amount of talking does.
Do you work with startups?
Yes. With early-stage companies the focus is usually on getting something real in front of users quickly and keeping the build cheap enough to change once you learn from it.
Do you work with large companies?
Yes. For larger organisations we typically slot in alongside an existing internal team, working to their standards, tooling and release process.
What size of business do you usually work with?
Most of our clients are small and mid-sized businesses. What matters more than size is that there is a real problem to solve and someone on your side who can make decisions.
Do you have a minimum project size?
For project work we are usually not the right choice below a few thousand dollars, simply because the setup overhead eats the budget. Ongoing retained services can start much smaller.
Can I speak to someone before committing to anything?
Yes, always. Nothing is signed until you have had a call, seen a written proposal, and had time to consider it.
What information should I include in my first message?
What the problem is, what you have tried already, and what a good outcome would look like. Budget range and any deadline help us give you a useful first answer rather than a vague one.
Pricing and payment 13
How do you price your work?
Project work is quoted as a fixed price against a written scope wherever the scope is clear enough to allow it. Ongoing services run on a monthly retainer. Where a project is genuinely undefined we price a paid discovery stage first.
Do you work on a fixed price or hourly rate?
Both, depending on the work. Fixed price suits defined projects and protects you from overruns. Hourly or day rates suit open-ended work where you want the flexibility to change direction.
What are your payment terms?
Typically a deposit on signature with the balance staged against milestones for project work, and monthly in advance for retained services. Exact terms are always in the proposal before you commit.
Which currencies do you invoice in?
We quote in USD, and invoice in USD, GBP, EUR, CAD or AUD. The currency is fixed in the proposal so exchange movement does not change what you pay.
How do we pay you?
International bank transfer is the usual route. For smaller engagements we can take card payments. Payment details appear on every invoice.
Are there any hidden costs?
No. The proposal lists what is included and, just as importantly, what is not. Third-party costs such as ad spend, hosting, licences or stock imagery are always identified separately.
Is advertising spend included in your marketing fees?
No. Our management fee is separate from the media budget, which is paid directly to the platform from an account you own. You always see exactly where the spend went.
Do you require a long contract?
Project work ends when the project ends. Retained services usually run on a rolling monthly basis after an initial three-month period, which is the minimum realistic time to judge whether the work is producing anything.
What is your notice period for ongoing services?
One month for rolling retainers, after the initial period. We would rather you stayed because the work is producing results than because you were locked in.
What happens if the project scope changes?
We price the change and you approve it in writing before we do it. You will never receive an invoice for work you did not agree to.
Do you offer discounts for taking multiple services?
Where services genuinely share work, that efficiency shows up in the price. We do not offer a discount simply for buying more, because that usually means the original quote was inflated.
Why are your rates lower than a local UK or US agency?
Our team is based offshore, so our cost base is lower. The saving comes from geography, not from cutting corners on process, testing or the seniority of the people doing the work.
What if we are not happy with the work?
Tell us early. Work is delivered in reviewable stages precisely so problems surface while there is still time and budget to fix them. Our proposals set out what happens if a stage is rejected.
How we work 14
Who will we be dealing with day to day?
You get a named lead for your account who stays with you throughout, plus direct access to the specialists doing the work. You will not be routed through a general support queue.
How often will we hear from you?
We agree a rhythm at the start, usually a weekly written update plus a call at each stage boundary. If something goes wrong we tell you when it happens, not at the next scheduled update.
What project management tools do you use?
We work in whatever your team already uses where possible, including Jira, Trello, Asana, ClickUp, Basecamp and Monday. If you have nothing in place we will set up a shared board for you.
How do you handle time zone differences?
Our working day overlaps the whole UK and European day and the US morning. For ongoing engagements we can shift hours to match your timezone, including full US coverage.
Do you work on site?
We deliver remotely, which is what keeps the cost advantage. Discovery, reviews and day-to-day contact happen over video and shared boards on a fixed weekly rhythm. For larger engagements we can travel for kick-off or major reviews.
What language do you work in?
English, in writing and on calls. All documentation, code comments and reporting are in English.
How do you deliver work in stages?
Work is broken into stages with something reviewable at the end of each. You see progress and can change direction early rather than discovering a misunderstanding at the end.
What if we need to pause the project?
Tell us as early as you can. We will document where things stand, hand over anything complete, and agree a restart point. Long pauses may need re-quoting if the team has been reassigned.
Can we change direction mid-project?
Yes, and staged delivery exists partly to make that affordable. Changes are priced and approved before they are made.
Do you provide written documentation?
Yes. Software comes with deployment and technical documentation, and every engagement produces written updates and a written record of decisions.
How do you measure whether the work succeeded?
We agree what success looks like in the proposal, in numbers where numbers are possible. Reporting is against those measures, not against activity.
What are your working hours?
We work 09:00 to 17:00 UTC, Monday to Friday. That covers most of the UK, Irish and European working day and the US Eastern morning. Shifted cover can be arranged for ongoing engagements in other timezones.
Do you work weekends or out of hours?
Not as standard. For live systems we can agree an out-of-hours support arrangement, priced separately.
What happens if someone on our team leaves mid-project?
Work is documented and shared rather than held in one person's head, so another team member can pick it up. That is a deliberate part of how we run projects.
Ownership, contracts and confidentiality 10
Who owns the work you produce?
You do. On completion and settlement of the relevant fees, source code, design files, content and associated intellectual property transfer to you, and we hand over repositories and documentation.
Do you keep control of our accounts?
No. Wherever the platform allows it we work inside accounts you own, including your Google Ads, analytics, hosting and repositories. If we part ways, nothing leaves with us.
Will you sign a non-disclosure agreement?
Yes. We are happy to sign a mutual NDA before detailed discussions, and we treat client information as confidential whether or not one is in place.
Can you sign our standard supplier contract?
Usually yes. Send it over and we will review it. If any clause is genuinely unworkable for us we will say which and why rather than quietly ignoring it.
Do you offer any warranty on your work?
Yes. Software carries a defect warranty period after launch during which we fix faults in what we built at no charge. The period is set out in the proposal.
What happens to our data if we stop working with you?
We hand back everything we hold, then delete our working copies once you confirm receipt, except anything we are legally required to retain.
Will you work with our other suppliers?
Yes. We regularly work alongside a client's existing developer, agency or accountant, and we would rather cooperate than fight over territory.
Can we hire your team members directly?
Our contracts include a standard non-solicitation clause. If you genuinely want to bring someone in-house, talk to us and we will try to find an arrangement that works rather than obstruct it.
Which country's law governs the contract?
Our standard terms are governed by the law of Pakistan, where the company is registered. For larger engagements we can agree to English law where a client's procurement requires it.
Do you carry professional indemnity insurance?
Insurance requirements vary by engagement. Tell us what your procurement process needs and we will confirm what we can put in place before you commit.
Working with an offshore team 10
Where is your team based?
Our team and office are in Pakistan. Our clients are mostly in the UK, United States, Canada, Ireland, Australia and Europe.
Why should we use an offshore team at all?
Cost and capacity. You get the same disciplines you would hire locally at a fraction of the salary cost, and you can scale the team up or down without redundancy risk.
What are the risks of offshoring, honestly?
Communication gaps, timezone friction and quality drift are the real ones. We manage them with a fixed weekly rhythm, written updates, staged delivery and English-language documentation, but you should judge us on whether that actually happens.
How do we know the quality will be good enough?
Start small. A contained first piece of work is the only reliable test, and it is why we recommend a pilot before any large commitment.
Will we be able to understand each other?
Yes. Our team works in English daily with UK, US and Australian clients, and everything material is confirmed in writing so nothing rests on a phone call.
Are you a reseller who subcontracts the work?
No. The work is done by our own team in our own office. If we ever needed a specialist outside our team for part of a project we would tell you before doing it.
Which countries do you work with?
Most of our clients are in the UK, United States, Canada, Ireland, Australia and Europe. We also work with businesses in the UAE and wider Gulf.
Can you comply with UK GDPR or EU data protection rules?
We can work to the requirements you are subject to, including signing a data processing agreement and standard contractual clauses covering the international transfer. Tell us your obligations and we will meet them contractually.
Do you have references we can speak to?
We can arrange reference calls with existing clients for engagements of a reasonable size, subject to those clients agreeing.
What is your staff turnover like?
Lower than the industry norm, and we structure projects so that knowledge is documented and shared rather than depending on one person staying.
Software development 12
What kinds of software do you build?
Line-of-business systems, web applications, internal portals, integrations and mobile apps. In practice most of it replaces spreadsheets, manual re-keying or software that no longer fits how the business works.
How long does a custom system take to build?
A focused first release is typically six to twelve weeks. We break work into stages so you have something usable early rather than waiting months for a single launch.
Which technologies do you work with?
Mainly PHP and Laravel, JavaScript and TypeScript with React or Vue, Python, and MySQL or PostgreSQL. For mobile we use native tooling or React Native depending on the app.
Can you work with our existing system?
Usually. We often extend or integrate with software already in place, which is normally faster and cheaper than starting again. We will tell you honestly when it is not.
Can you take over a project someone else started?
Often, yes. We review what exists first and give you an honest assessment of whether it is better continued or rebuilt, including when continuing is the cheaper answer even though rebuilding would earn us more.
Do you build mobile apps?
Yes, for both iOS and Android, from first release through to store submission.
Will our software integrate with our accounting or CRM system?
That is a large part of what we do. We build connectors so data moves between systems automatically instead of someone copying it.
What happens after the software launches?
We offer support and maintenance covering updates, security patches, monitoring and changes as your needs move on. It is optional, not a condition of the build.
How do you test the software?
Automated tests for the logic that matters plus structured manual testing before each release. Nothing reaches your users without being exercised first.
Can you host the system for us?
Yes, or we can deploy to your own hosting. Either way the infrastructure is documented so you are never locked to us.
What if we want to bring development in-house later?
Then you take the code, the documentation and the deployment process and go. That is the point of you owning it, and we will brief your new team.
Do you build eCommerce systems?
Yes, both on established platforms and as custom builds where a platform genuinely cannot do what the business needs.
Web design and development 12
How long does a website take to build?
A straightforward business site is typically three to five weeks from sign-off, assuming content is available. Stores and larger builds take longer, and the proposal gives you a dated plan.
Can we update the website ourselves?
Yes. We build on a content management system and hand over a short walkthrough so your team can edit text, images and pages without coming back to us.
Do you use WordPress?
Often, yes, where a client wants a familiar editor and a large plugin ecosystem. For sites with unusual requirements or heavy traffic we may recommend a custom build instead, and we will explain why.
Will the site work properly on phones?
Every site we build is responsive by default and tested on real devices, not just resized in a browser.
Do you handle hosting and domains?
We can. Hosting and a care plan are optional add-ons. If you prefer to host it yourself we hand everything over cleanly, and the domain stays registered to you either way.
Will the website be fast?
Page speed is handled during the build rather than retrofitted, including image handling, caching and keeping third-party scripts under control. We test against Core Web Vitals before launch.
Is SEO included in a website build?
The technical foundations are: structure, speed, mobile, metadata and schema. Ongoing ranking work is a separate SEO service.
Can you redesign our existing site without losing our rankings?
Yes. We map every existing URL, redirect anything that changes, and keep the content and structure that is already earning traffic.
Do you write the website content?
We can. Copywriting is quoted separately because some clients have it covered and some do not.
Can you build an online shop?
Yes, including product management, payment gateways, shipping rules and order handling, on a platform or as a custom build.
What happens if the site breaks after launch?
Faults in what we built are fixed under warranty. A care plan covers ongoing updates, backups and monitoring if you want the site looked after rather than left alone.
Do you provide website accessibility support?
Yes. We build to sensible accessibility standards as a matter of course, and we can carry out a specific WCAG conformance review where you have a legal or procurement requirement.
Social media and digital marketing 11
Which social platforms do you cover?
Usually Facebook, Instagram, LinkedIn and TikTok, plus X and YouTube where they fit. We would rather run two platforms properly than six badly, and we will tell you which two.
Do we approve posts before they go out?
Yes. The content calendar goes to you ahead of the month and you can change or veto anything. Once approved we publish without chasing you each time.
Do you supply photography and video?
We design graphics and edit footage you supply. For original photography or video shoots we can arrange a crew, quoted separately.
Who replies to comments and messages?
We do, within working hours, as part of community management. Anything sensitive or commercially significant is escalated to you rather than guessed at.
How is social media different from your digital marketing service?
Social media covers organic presence and community day to day. Digital marketing is the wider paid-media, content and email programme. Many clients take both, and they are priced separately so you can start with one.
How long before digital marketing produces results?
Paid campaigns produce usable data within days and usually stabilise over four to eight weeks. Organic content and SEO work on a longer horizon.
How much should we spend on advertising?
It depends on your market and margins. We would rather start with a modest test budget, find out what a lead actually costs, and scale from evidence than pick a number up front.
Do you need access to our advertising accounts?
Yes, but we work inside accounts you own so the history, audiences and assets stay yours if we ever part ways.
What reporting do we get?
A monthly report covering spend, results and cost per lead or sale, with a short note on what we are changing next and why.
Can you handle email marketing?
Yes, including campaigns, automated sequences, list health and deliverability.
Do you buy followers or engagement?
No. Bought engagement damages reach, misleads your reporting and is against every platform's rules.
SEO 9
How long does SEO take to work?
Expect early movement in eight to twelve weeks and meaningful positions on competitive terms in six to twelve months, depending on the starting point and the sector.
Can you guarantee a number one ranking?
No, and neither can anyone else honestly. We commit to the work and report transparently on rankings, traffic and conversions.
What does an SEO audit cover?
Indexation, site speed, structure, internal linking, schema and mobile behaviour, delivered as a prioritised list of fixes rather than a raw crawl export.
Do you build backlinks?
Yes, through content and genuine outreach. We do not buy links from networks, because the short-term gain is not worth the penalty risk.
Will you write the SEO content?
Yes. Content is usually where most of the value is, and it is written to be worth reading rather than stuffed with keywords.
Can you recover a site that lost rankings?
Often. We diagnose whether it was an algorithm update, a technical fault, a manual action or a self-inflicted change, then work from the actual cause rather than guessing.
Do you do local SEO?
Yes, including Google Business Profile, local citations and location pages, for businesses that serve a specific area.
Is SEO worth it if we already run ads?
Usually. Paid traffic stops the day you stop paying, whereas organic positions keep producing. Most businesses do best running both and comparing the true cost per enquiry.
How do you report on SEO?
Rankings, organic sessions and conversions together, so you can see the line from the work to the commercial result rather than just a list of positions.
PR and reputation 9
What does your PR service actually do?
Places genuine material about you in public: press releases and media outreach, bylined articles, expert commentary, and coherent professional profiles that rank for your name.
Can you guarantee coverage in a specific publication?
No. Journalists decide what they run. We commit to the pitching work, target realistic titles, and report exactly what landed and what did not.
Can you remove negative reviews or search results?
Not unless the content is genuinely defamatory or breaches a platform's own rules, in which case we help you use the proper reporting or legal route. We do not suppress legitimate criticism or post fake reviews.
We have nothing newsworthy. Is PR still worth it?
Often the answer is thought leadership rather than news. Your expertise, data and opinions are publishable even when your company announcements are not.
Do you work with individuals as well as companies?
Yes. Founders, consultants and executives are a large part of this work, because for many businesses the person is what gets searched before the company does.
How long before PR changes what people find when they search us?
Individual placements can appear within days. Meaningfully changing what dominates the first page for a name typically takes three to six months of consistent output.
Who writes the articles published in our name?
We draft from interviews with you, and everything comes back for approval. Nothing is published in your name that you have not read and agreed.
Can you help if we are facing a public problem right now?
Yes. Crisis communications work starts with a holding position and a clear plan for who says what, to whom, and when. Contact us directly rather than through the form if it is urgent.
How do you handle negative reviews?
By responding properly and publicly, and by making it easy for satisfied customers to leave honest reviews so the overall picture is representative.
Data entry and back office 9
What kinds of data entry work do you take on?
Bulk data capture, form and invoice processing, document digitisation, data cleansing and migration, eCommerce product listings, lead research and list building, and ongoing back-office admin.
How do you charge for data entry?
Either a fixed price for a defined backlog, or a monthly block of hours for ongoing work. Per-record pricing is possible once a pilot has shown the real rate of work.
How do we know the work will be accurate?
We agree an accuracy target in writing, verify by sampling every batch, and re-do anything that falls short at our cost. Every engagement starts with a small paid pilot.
Can you work directly in our systems?
Yes. We work inside your CRM, store admin, accounting package or shared drive, using accounts you create and can revoke at any time.
How is our data protected?
We access only what the task requires, work to whatever confidentiality terms you set, and are happy to sign an NDA or data processing agreement before any data changes hands.
Can you cover our working hours?
For ongoing engagements we can shift the team's hours to match your timezone, including full US coverage.
How quickly can you clear a backlog?
It depends on volume and complexity. The pilot tells us the real rate per record, and from that we can give you a dated plan rather than an estimate.
Can you handle product listings for our online store?
Yes, including uploads, descriptions, attributes, categorisation and image handling, on marketplaces and on your own store.
Do you provide virtual assistant support?
Yes, as ongoing back-office support covering order and invoice processing, inbox triage, record keeping and routine reporting.
Design, video and business development 8
Do you shoot video or only edit it?
Our core service is editing and post-production. We can advise on the shoot and work with your footage, or arrange a local crew where one is needed.
Do we get the source design files?
Yes. On completion you receive the working files and full rights to the finished work.
Can you work to our existing brand guidelines?
Of course. If you have guidelines we work within them, and if you do not we can produce a set.
Can you create a brand identity from scratch?
Yes, covering logo, colour, typography and usage guidelines so everything you publish afterwards stays consistent.
What is business development in your context?
Market analysis, strategic planning, partnership development and sales optimisation, aimed at sustainable growth rather than a short spike.
Is your business development work consultancy or delivery?
Both. We produce the strategy and then stay involved in executing it, which is where most of the value sits.
Can you help us enter a new market?
Yes, through market sizing, competitor research, positioning and pricing, and a launch plan with owners and numbers attached.
Do you do animation and motion graphics?
Yes, including animated logos, lower thirds, explainer sequences and titles.
